Privacy Policy

J-Nexia Inc. (the “Company”) recognizes the importance of protecting users’ personal information and establishes and complies with the following Privacy Policy.

Article 1. Definition of Personal Information

(1) In this Privacy Policy, “personal information” means information relating to a living individual as defined in Article 2, paragraph 1 of Japan’s Act on the Protection of Personal Information, which falls under either of the following:

Information that can identify a specific individual through a name, date of birth or other description (including information that can be readily collated with other information and thereby identify a specific individual).
Information containing an individual identification code.

(2) In this Privacy Policy, “special care-required personal information” means special care-required personal information as defined in Article 2, paragraph 3 of the Act on the Protection of Personal Information: personal information containing descriptions prescribed by laws and regulations as requiring special care in its handling to prevent unfair discrimination, prejudice or other disadvantage to the individual, such as the individual’s race, creed, social status, medical history, criminal record or the fact of having suffered damage from a crime.

Article 2. Purposes of Use of Personal Information

The Company uses personal information it obtains for the following purposes. Except where permitted by the Act on the Protection of Personal Information or other laws and regulations, the Company will not use personal information beyond the scope necessary to achieve these purposes without the individual’s prior consent.

Providing and operating the Company’s services.
Responding to inquiries, consultations and visits to the Company, including verifying the individual’s identity.
Providing information regarding the Company’s services and administering their operation.
Conducting market research concerning the Company’s services, and researching and developing services through data analysis, surveys and similar activities.
Notifying individuals of changes to the terms, rules, guidelines, risk disclosures, policies, notices and other individual provisions concerning the Company’s services (collectively, the “Terms and Other Provisions”).
Responding to conduct that violates the Terms and Other Provisions.
Creating backup data.
Other purposes incidental to the above.

Article 3. Proper Acquisition of Personal Information

The Company obtains personal information by proper and lawful means within the scope necessary for its business. The Company also endeavors to erase or dispose of personal information that is no longer needed in accordance with the Terms and Other Provisions. Documents submitted for identity verification will not be returned.

Article 4. Security Management of Personal Information

The Company takes appropriate security management measures to prevent the leakage, loss, alteration or other compromise of personal information. The Company also exercises necessary and appropriate supervision over its officers, employees and contractors (including subcontractors) who handle personal information.

Article 5. Provision of Personal Information to Third Parties

Except where permitted by the Act on the Protection of Personal Information or other laws and regulations, the Company will not provide personal information to a third party without obtaining the individual’s prior consent. However, this restriction does not apply in the following case. Provision of personal information in connection with outsourcing or joint use is not deemed disclosure or provision to a third party.

Where the Company’s business is succeeded to through a merger, company split, business transfer or other reason, and the succession includes the provision of personal information.

Article 6. Outsourcing of Personal Information Handling

The Company may outsource administrative work to a third party in order to provide services requested by an individual. In such cases, the Company exercises necessary and appropriate supervision over the contractor in accordance with the Act on the Protection of Personal Information.

Article 7. Disclosure, Correction, Suspension of Use and Erasure of Personal Information

When the Company receives a request for notification of the purposes of use, disclosure, correction, addition, deletion, suspension of use, erasure or suspension of provision of personal information (collectively, “Disclosure and Related Actions”), it will first verify that the request was made by the individual concerned and respond within a reasonable period and to an appropriate extent, except where laws and regulations or other applicable provisions do not require Disclosure and Related Actions. The Company may charge a fee for notification of the purposes of use or disclosure of personal information.

Article 8. Use of Cookies and Access Analytics

The Company’s website may use cookies and access analytics tools (such as Google Analytics) to improve convenience and services. Information collected through these tools does not include information that identifies a specific individual.

Article 9. Changes to this Privacy Policy

The Company reviews its practices for handling clients’ personal information as appropriate and endeavors to make continuous improvements. The Company may amend this Privacy Policy from time to time as necessary.

The amended Privacy Policy will be announced on the website operated by the Company. If a change requires the individual’s consent under laws and regulations, the Company will obtain that consent by a method separately specified by the Company.
